Job Summary:

Responsible for the recruitment and enrollment of new students into the OUAZ Surprise campus programs by using effective enrollment management recruitment techniques and excellent customer service skills that are aligned with Ottawa University's student centric philosophy. Responsible for assigned inquiries and applicants: contact prospective students and their parents to schedule advisory sessions, conduct advisory sessions with prospective students and their parents on campus, and manage his/her applicant pipeline to ensure enrollment goals are met with a high level of student support and customer service.  Generate inquiries through community recruitment programs, college fairs (as assigned), referrals and alumni network.  Requires personal initiative and effective communication with applicants to assist them in all phases of the new student enrollment process.  Responsible for achieving measurable enrollment goals and objectives and collaboratively working with internal constituents.  This position is based on campus in Surprise, Arizona.  The position requires evening/weekend hours as necessary.   


Essential Duties and Responsibilities:

  • Responsible for meeting individual targeted new student enrollment goals and contributing toward accomplishing overall department goals through management of an assigned activities, inquiry and applicant follow up, on-campus advisory sessions with inquiry or applicant and parents, and recruits and enrolls students into Ottawa University's courses and programs by using effective enrollment management sales techniques and excellent customer service skills.  
  • Responsible for attaining a targeted level of campus visits interviews as well as securing a targeted level of applications and deposits as a result of these visits. In addition, required to meet established new student contact and conversion rates.  The enrollment advisor, prospective student, and parents or guardian will discuss at a more detailed level, the opportunities available to the individual at Ottawa University in a personal service model conducting advisory sessions. 
  • Responsible for duties related to college fairs, college nights and other related programming including: Setup and tear down of booth for events, meet and discuss program offerings with prospective high school students visiting college fairs, and foster interest in appointment/interview which leads to campus visits as assigned.
  • Facilitates the process required for financial aid application.  Encourages prospective students to understand steps for completing financial aid, make use of online tools, explains the process and information needed to attain appropriate types of aid, and refers the student to the appropriate department as needed.
  • Manages the process for decision making related to each prospective student's entry into Ottawa University. Must have knowledge of the University organization, structure, HLC standards. Requires evaluation of prospective student transcripts and assessment of hours that will be transferrable for each student.  Must understand programs and systems to be able to effectively assist students toward a program that will successfully meet degree requirements.  Each prospective student must meet established criteria for admissions standards.
  • Maintains reports in order to track all associated activities and goals and utilizes university CRM system. Responsible for meeting individual targeted new student enrollment goals and assist in accomplishing the overall department goals.  Responsible for the accuracy and timely entry of all data information pertaining to assigned students in student database systems.  Prepares reports as needed to facilitate enrollment objectives of assigned activity areas.
  • Applies and utilizes new knowledge, skills gained from learning into daily work assignments to improve individual productivity. Shows flexibility by accepting coaching tips. Works well with management, team members, and other employees, as well as potential students.  Participates as a team member by understanding team dynamics.  Open to work willingly to support department's goals and objectives as assigned by the Chief Enrollment Officer. 
  • Acts in a liaison capacity with other campus departments to ensure that the Enrollment Department properly interacts with all areas affecting student enrollments.
  • Participates in other duties as assigned including, but not limited to, working with student ambassadors, admissions event planning, weekend visits, phone duty.
  • Understand the University's policies and procedures.  Provide an effective and responsible interface to persons internal and external to the University who are seeking information and assistance.  Represent the University to students, staff, faculty, and external groups in a way that reflects well on OU.  Assure that University information is handled in a confidential and ethical manner in alignment with the University's Code of Conduct and Ethics.

Measurement of success

  • Successful student/parent campus advisory sessions
  • Successful coordination and collaboration with key internal and external constituents
  • Student completed applications, confirmed deposits, registrations, matriculation rate, personally developed inquiries and referrals


Education:  Bachelor's degree or equivalent.  Master's Degree preferred. 

Work Experience: Three plus years' experience in recruiting or sales position in a college environment.

  • Proficiency with a PC including, word, excel and student database systems
  • Ability to work independently, making sound decisions
  • Must be able to lead prospective students toward decisions and successfully close a deal
  • Maintain a valid driver license and be available for overnight travel
